Status: Non-Exempt
Pay: $33,000 - $36,000
Hours: M-Th 1:00-9:00, Fri-9-5 (seasonal hours)
Purpose of Position: Oversee and implement all aspects of the student registration process in a timely, efficient manner. Provide administrative support to the Executive Director and Business Manager in support of smooth running school operations. Support Lundstrums vision, mission and values during daily work routine.
Scope of Position: Primary work assigned by Business Manager. Directly responsible for work study students (application process/managing hours) and assists receptionist in supervising their daily work. Oversee volunteers when applicable to school administration work.
Primary Functions / Duties and Major Activities:
Develop and implement the class registration process
Responsible for handling all class registration and related activities.
Assist in developing class registration process.
Respond to all class inquiries and redirect as necessary.
Create and update class/student lists
Create forms and other documents needed to expedite class registrations.
Schedule students for private lessons (voice, acting), coordinating with the Music Directors schedule.
Plan, prepare, and send class schedule mailings and monthly invoices.
Lead class schedule mailings.
Generate invoices for all students monthly.
Manage financial aid applications and distribute financial aid.
Process aid requests and determine if funding is available.
Notify students and parents as needed.
Process, distribute and track financial aid funding and prepare reports as requested.
Responsible for timely, accurate processing of all school payments
Process tuition and dance wear payments regularly, and prepare bank deposits in a timely manner and according to Lundstrums accounts receivable processes.
Data entry all class registrations in Studio School Pro (SSP) accurately and in a timely manner.
Coordinate data entry with bookkeeper as needed.
Prepare reports as requested.
Responsible for purchasing and inventory management of dancewear.
Anticipate needs for dance wear including shoes, clothing and maintain appropriate levels of inventory.
Other Responsibilities:
Other duties as assigned by the Business Manager.
Position Qualifications:
3-5 years experience as an administrative assistant, or comparable experience
Bachelors degree preferred
Experience in a non-profit preferred
Experience using Filemaker.
Excellent computer skills required. Proficiency with Microsoft Office Products including word processing, and simple desktop publishing
Demonstrated typing, word processing and database skills
Excellent writing skills with proficiency in grammar
Able to communicate in a personal and professional manner
Exceptional organizational skills with high attention to detail
Ability to handle a variety of tasks and priorities simultaneously
Able to work well in a team environment
Appreciation of the arts and their impact on young lives
Education Requirement:
High School Diploma Required,
